Spring Cleaning for Your Home and Computer

Well, here it is Spring time and it is time for our Spring cleaning.  You might also want to think about cleaning up the data on your computer.  Remember that your data is an asset just like other things you own.  You want to take care with your digital pictures, music, documents, financial records, and on the list goes.

First of all, you want to make sure you have your data backed up.  There are several options and several methods for doing this.  Some of these options are free and others can cost a great deal.  Most operating systems come with a backup solution.  Check the manufactures information on your particular computer or small computer notebook.

Do you have Microsoft Office?  If so, below are a couple tips for Spring cleaning your data.  Most computers come with a free microsoft office trial.
If you use Outlook 2007 as your email client when you delete a message it doesn’t really go away.  It is moved to your Deleted Items folder.  You can permanently delete a message from any of the folders by highlighting the message and hitting Shift and Delete.

When you use Word for creating documents make sure you clean them of any hidden or private information before you send them off to someone else.  Once your word document is complete make sure you have saved it.  Then use the Inspect Document command.  This command is found under the Office button (the big round colorful button in the upper left-hand corner) click on Prepare and then on Inspect Document.  You will be given a menu with 5 categories to click on for inspection.  You can click on one or all of them.  The 5 categories are:

  1. Comments, Revisions, Versions, and Annotations – Inspects the document for comments, versions, revision marks and ink annotations.
  2. Document Properties and Personal Information – Inspects for hidden metadata or personal information saved with a document.
  3. Custom XML Data – Inspects for custom data stored with the document
  4. Headers Footers and Watermarks – Inspects the document for information in headers, footers, and watermarks.
  5. Hidden Text – Inspects the document for text that has been formatted as hidden

The results will be returned to you for your inspection.  Then you have the option of deleting private/ hidden data or leaving as is.
